  TITLE: Administrative Assistant

REPORTS TO: Division Director

LOCATION: Rochester, NY

REASON FOR OPENING: Replacement

POSITION PURPOSE:
This individual provides both administrative and clerical assistance to Division Director and Division staff/volunteers.

 



POSITION RESPONSIBILITIES:
  • Schedule and Coordinate meetings, makes travel arrangements, assists in maintaining Division Director’s calendar, assists with the coordination of fundraising events (some fundraising required)
  • Drafts correspondence, prepares reports, charts, PowerPoint;
  • Responds to requests for information verbally and in writing;
  • Maintain and up date records for Fundraising;
  • Data entry for various division events
  • Maintain office supplies, 
  • Provide miscellaneous office duties such as answering phones, photocopying, process incoming and outgoing mail, etc.
  • Direct and assist volunteers who handle clerical duties


QUALIFICATIONS REQUIRED:
  • Minimum three years experience in office administration, etc.
  • Ability to work with Microsoft Word, Excel, Publisher, Outlook and PowerPoint
  • Good verbal and written communications skills
  • Must be organized and detail oriented
  • Ability to successfully manage multiple projects and tasks
  • Must be able to work well with diverse populations even under stressful conditions.
  • College degree preferred
