TITLE: Administrative Assistant
REPORTS TO: Division Director
LOCATION: Rochester, NY
REASON FOR OPENING: Replacement
POSITION PURPOSE:
This individual provides both administrative and clerical assistance to Division Director and Division staff/volunteers.
POSITION RESPONSIBILITIES:
- Schedule and Coordinate meetings, makes travel arrangements, assists in maintaining Division Director’s calendar, assists with the coordination of fundraising events (some fundraising required)
- Drafts correspondence, prepares reports, charts, PowerPoint;
- Responds to requests for information verbally and in writing;
- Maintain and up date records for Fundraising;
- Data entry for various division events
- Maintain office supplies,
- Provide miscellaneous office duties such as answering phones, photocopying, process incoming and outgoing mail, etc.
- Direct and assist volunteers who handle clerical duties
QUALIFICATIONS REQUIRED:
- Minimum three years experience in office administration, etc.
- Ability to work with Microsoft Word, Excel, Publisher, Outlook and PowerPoint
- Good verbal and written communications skills
- Must be organized and detail oriented
- Ability to successfully manage multiple projects and tasks
- Must be able to work well with diverse populations even under stressful conditions.
- College degree preferred
